Keeping Your Medical Transcription Files Well Organized
Whether you work several medical transcription jobs, or only one, you are going to have to stay organized. Anyone who is involved in this type of work understands just how hectic things can get. Working from home doesn’t make it any easier because your personal life and your work life are both within the same vicinity. That is why you need to take extra care when organizing your work space, and your transcription files in particular.
Since we do live in the technological era, organizing things isn’t as difficult as it could be. Luckily for the medical transcriber, medical transcription files can easily be downloaded onto a computer. But if you are in a hurry, you might end up saving those files in any old place on your computer and forget where they are, and you may also forget to clear them out once you have used them and no longer need them – not a good idea. Saving files to your computer can take up a lot of space, and that is why it is much easier to save them to a disk or CD.
When saving your transcription files, save them to their specific specialty such as “radiology”, “SOAP reports”, “emergency”, “OBGYN”, etc. There will always be times when you cannot finish your work and you have to step away for a few hours, go to bed, go to dinner, and the list goes on and on. Working from home can make things much more complicated than they need to be if you’re a generally unorganized person. If you are unable to locate your files, then you’ll have to request them once more, which won’t really make you look like the most responsible employee.
It’s very important to keep track of your transcription files when working transcription jobs because you never know when you may have to go back and redo a report or series of reports. There will be times in everyone’s career where they make errors. Sometimes, if you are dealing with an overly picky doctor, (this may happen when you first start, especially if you are doing contract work) he may insist he said something that he didn’t, or that a particular diagnosis was stated that was not. There are hundreds of instances where keeping track of your transcription files can come in handy.
If you are downloading your files directly from the internet onto your computer, remember to clean them out every couple of days or weeks to keep your computer from crashing. Your computer may break down if there is not enough space located on it’s hard drive or when it is running out of memory. These are instances where you might end up having to take your computer to a repair shop, add more memory, hard drive, etc. Those types of things are nonetheless very annoying, time-consuming, and can be easily avoided. Not to mention, you’ll end up saving a lot of money over time by simply remembering to keep your transcription files organized.
We all know what happens when things come undone and get unorganized. An orderly work area is a productive work area. So, save yourself the frustration, time, and the headache. Always remember to throw out what you do not need, and to put away in a safe place what you do need. If you can do that, you’ll have a hassle-free work life, and everything will run smoothly.
